Data Protection
By providing consent you agree that ProActive Therapies may keep personal details on record, such as addresses and contact numbers, as well as medical histories and treatment records.
All sensitive data is stored appropriately, either under lock and key within the clinic premises, or stored securely online, accessed only by your therapist with the appropriate secure log-in details.
Cancellation Policy
We operate a cancellation policy when an appointment is cancelled with short notice. Appointments cancelled with less than 24 hours notice will be charged at 100% of the appointment fee. Appointments cancelled with between 24 and 48 hours notice will incur a 50% charge – therefore half of the total cost of the appointment is due. Invoices will be sent and payment should be made within 7 days of the appointment. This is standard practice within appointment based businesses.
We will endevour to send text or email reminders prior to appointments, however it is ultimately the clients responsibility to attend their appointment at the agreed time.
If little or no notice is given, it is unlikely that we will be able to rebook your appointment in such a short space of time. As all therapists at ProActive Therapies are self-employed, they therefore lose part of their income for the day.
Late Payment
Any on-going treatment may be suspended or cancelled if our fees are not paid in full when due. In the unfortunate event that we need to enforce payment from you, you will be liable for all the incurred costs.
Gift Vouchers
We can provide gift vouchers for a set treatment, or a monetary value. Such vouchers can be collected in person from the clinic, or posted for an additional £1 p&p charge.
Vouchers are valid for 6 months from the purchase date. If a voucher expiry date has passed, we are willing to offer the same treatment for a 50% charge for 2 calendar months after the expiry date.
For example, a voucher for a 30 minute sports massage which expired six weeks ago, would be entitled to the same 30 minute massage at a rate of £12.50 rather than £25.
Consent to Treatment
In booking an appointment you are making a consent for treatment. That being said, our therapists would never begin a treatment without first explaining the treatment plan, benefits, any risks or side-effects in full. Verbal consent from the client will then be sought and documented before treatment begins.
Covid-19
In response to the Covid-19 pandemic, we have been following the very stringent guidelines for healthcare settings as set out by Public Health England. Whilst many of these requirements have now been removed, we still take your health and safety seriously.
We continue to:
- Ventilate treatment rooms between appointments and sanitise all items used after every appointment.
- All items on the treatment couch are changed after every appointment, with towels, pillowcases and couch covers etc being washed at 60 degrees and tumble-dried between every use.
- Therapists thoroughly wash and dry their hands between every client, as well as using hand sanitiser at regular intervals whilst in the clinic.
- Whilst masks are no longer a requirement, we are happy to wear one if you feel more comfortable.
Your role:
By making an appointment you agree that you:
- Have not been symptomatic within 1 week prior to your appointment. If you do develop any symptoms, please contact us ASAP to cancel your appointment.
- Have not come into contact with anyone displaying Covid-19 symptoms within 7 days prior to your appointment. If you do, please contact us ASAP to cancel your appointment.
- If you test positive for Covid-19 within 5 days following your appointment, please contact us as soon as possible.
Cancellation related to Covid-19
If you are required to cancel your appointment with short notice due to suffering Covid symptoms, coming into contact with someone with Covid or being required to self-isolate, you will not be charged a cancellation or rescheduling fee as we all have a duty of care to act safely and responsibly
